How to choose an event coverage team in Dubai

Dubai runs on events. Product launches, GITEX, conferences, gala dinners, ministry openings, a real estate handover with three hundred guests and one afternoon to get it right. There is no reshoot. Whatever happens on the day is what you get, which means the crew you book matters more here than on almost any other kind of shoot.

Most people booking event coverage for the first time make the same mistake: they hire on price or on portfolio polish, and find out on the day that neither one tells you what you actually need to know.

What actually separates a good event coverage team

They ask about the run of show before they ask about the budget. A crew that wants the agenda, the VIP list, the stage timings and the exit plan before anything else is a crew that has done this before. If the first question is "what's the budget," that's a studio pricing a shoot, not a team planning coverage.

They bring redundancy, not just gear. One camera, one card, one battery is a plan for a good day. Dubai events don't always give you a good day — heat, crowd control, a keynote that runs forty minutes long. Ask how many operators, how footage is backed up on-site, and what happens if a camera goes down mid-event.

They know the venues. DWTC, Coca-Cola Arena, Atlantis, Madinat Jumeirah, a hotel ballroom with house lighting that fights every camera in the room — each one has its own rules about access, cable runs and where a tripod is and isn't allowed. A crew that's shot there before saves you a scouting trip and a permit headache.

They deliver on your timeline, not theirs. Same-day recaps for social exist because the news cycle for an event is about 48 hours. If same-day or next-day turnaround matters, ask for it in writing before the shoot, not after.

They've covered something like yours. Government and public-sector events (flag days, graduations, road safety campaigns) move differently from a brand activation or a corporate gala — different access rules, different sign-off chains, different tone. A crew with range across both is worth more than one that's only ever shot product launches.

What we'd ask if we were hiring

How many people are on-site, and what does each one own? What's the backup plan if a card fails or a battery dies mid-event? Can we see coverage from a similar event — same scale, same kind of client? What's the delivery timeline for a highlight reel vs. the full edit? Who's the single point of contact on the day?
